BPM System for a Small Business

I was looking for a BPM suite for a small business. I am trying to narrow down my choice by price since there are so many out there. We are a small business and have a max of $50,000 to impliment a BPM suite.

Any suggestions?

I assume to 50K is for the total project, including services. That's not a lot in that case.

Well - a number of options:

1. You can go opensource.
- Intalio is an established player (and if your processes are document intensive, you might consider Alfresco)
- Jboss has a (somewhat limited) BPM component
- There are various other BPM open source solutions

2. You could go SAAS (Software as a Service)
Various companies are starting to provide BPM technology in an ASP/SAAS offer. Depending on your requirements, this could work.
(I have not seen SAAS voor BPM process execution yet, most are for modelling)

3. You could negotiate with a smaller vendor
Most small players are working hard on good references (which they need to get above the radar), which means they might be open for negotiations.
Consider Cordys, Appian, Pegasystems, Lombardi, Ascenten.

4. You could go Microsoft (not sure about price), Workflow Foundation + Sharepoint.

I had once been looking for a suite that helps me for a lot of things like my business process management - a kind of knowledge based management tool that helps for rules based system. I am currently using one legislation law suite that is very good and might be a good reference to you as well.

You first made a mistake of letting your budget know. Look for the product that you want (Not all process are same and not all tools support what you want), then decide on how much you want to pay.

Goto google and search for "Workflow" and/or "Workflow software", try the products and see what fits you. These guys spend to be placed there and i am sure you will find what you wanted in a short time. Just remember that all tools have a learning cure and it narrows to what your comfortable learning/using.

The first step to write down what processes you want to automate and the objectives of the automation. For example, you might write:
Reduce the time it takes to resolve customer issues
Improve the quality of responses
Find out which support reps are providing the best support


The second step is to write down how you might achieve these objectives. For example, you might write:
Provide a 24/7 FAQ so that customers can find answers themselves
Have a set of standard solution to common problems that support reps can import into their answers
Provide automated surveys that allow you to determine which support reps are giving customers the best answers.


The third step is to write up usage scenarios that describe how you want the system to work before you ask vendors to demonstrate their solutions. Otherwise, they will demo how their system happens to work and try to persuade to fit a square peg into a round hole.

You want software that the vendor can actually demonstrate implementing the usage scenarios described in step 3. Ideally, one package that can do it all at a reasonable cost. Do not accept mere promises that the vendors consulting team can do what you need, or you will end up spending a lot of money trying to fit a square peg into a round hole.

If you do not want to avoid future consulting fees, keep a couple of requirements in reserve and ask them to demonstrate live how their system would be configured to meet these needs. This will illustrate how easy or hard it will be for you to make changes in the future, .

Web and Flo offers comprehensive SaaS Workflow / BPM on a per user basis. You may spend as little as 10K for licenses depending on the number of users and if you want to build the applications yourself or use the existing process templates.

Another option would be to leverage an open source solution :-) BonitaSoft community have just released Bonita Open Solution 5.0, a fully functional open source solution for Business Process Management.

You will probably want to have a look at ProcessMaker (http://www.processmaker.com) - a leading Open Source BPMS. One of the important things to look at besides the initial sticker price (free in the case of processmaker) is the cost to maintain and/or modify. Many other BPM systems can require a serious amount of overhead just to manage the system both in terms of time, know how, etc. ProcessMaker is truly modular and very simple - probably the reason why its community has grown so quickly around the world.
